Overview

As a responsible driving school, we take data protection seriously and so we thought we would share with you the reasons why it is necessary for us to collect your data, how we collect it and how we store and handle it.

Why is it necessary to collect your data?

Your data is collected to firstly determine whether we have a driving instructor suitable for you, based on your location and availability. The information you provide further helps your driving instructor to make contact with you and plan your driving lessons, based on your requirements. Once driving lessons have commenced, your data will be used to generate a personal progress record card, helping both you and your instructor to chart your progress. Once you have passed your test you may also be sent a pass pack, with a customer survey enclosed to allow you to share your experiences with us. Personal data provided for intensive courses is also used to book your theory and practical tests. Personal data of franchisee driving instructors is collected in order to do relevant checks with the authorities to ensure you hold the necessary licences and qualifications to be able to teach.

How is your data collected?

Your data is collected in one of the following ways: by making a booking over the phone, filling out one of our forms online; such as our booking form, intensive course booking form(s), enquiry form, gift voucher request, loyalty card request, and our franchise enquiry form, and by filling out a progress record card.

Will your data be shared with any third party?

The only time your personal data will be shared with a third party is when an intensive driving course is booked. Your data will be used to book your theory and practical tests, and to order course materials via Amazon UK.

What are your rights?

You have the right to see your personal data or to enquire about its usage and amend any aspect of it at any time.

    Consent

    You may give us consent to send you information or to be entered into our prize draw.

    Contractual obligations

    As part of our contractual obligations to our driving instructors, when you book a driving lesson with us, we will take key personal data from you, such as your name, address and contact number, and pass this on to one of our driving instructors in order for them to be able to contact you.

    Legal requirements

    In order to be able to learn to drive you need to have a valid UK provisional driving license and be of a legal age. We therefore need to collect and process your personal data in order to determine whether you are eligible to learn to drive or not. We also require these details in order to book any driving tests. Driving instructors are legally required to have the necessary qualifications and licence to teach. As a pupil or driving instructor, your personal data will be used to report you to the authorities should any fraudulent or criminal activity be detected.


  3. When is your personal data collected?

    • When you submit an enquiry using our enquiry form, including our franchise enquiry form, on any of our websites.
    • When you complete one of our booking forms on any of our websites and submit.
    • When course materials are ordered or a driving test is booked on your behalf.
    • When you purchase a gift voucher on one of our websites.
    • When you submit a friend’s details as part of our loyalty card scheme on one of our websites.
    • When you submit a testimonial on one of our websites.
    • When a progress record card is filled out on your first driving lesson.
    • When you have passed your driving test and a pass pack is sent to you.
    • When you return our pass pack and wish to have your name published on the website.
    • As a new driving instructor joining Ignition Driving School, when you return the contract, direct debit form and what to do next form.
    • When you join one of our social media sites.

  4. What personal data do we collect?

    • When you fill out a standard driving lesson booking form we collect: your name, address including postcode, date of birth, telephone number, email address and availability for driving lessons.
    • When you fill out an intensive driving course booking form we collect: your full name including middle names, address including postcode, date of birth, provisional license number, theory certificate number and date theory passed, telephone number, email address and availability for driving lessons.
    • When you fill out one of our enquiry forms we collect your name, postcode, phone number and email address.
    • When you buy a gift voucher we collect your name, address, email address and telephone number, plus details of the recipient if different.
    • When you submit a friend’s details as part of our loyalty card scheme, we collect both yours and your friend’s details including: name, address and telephone number.
    • Details collected on a progress record card include: Full name, address, telephone number, date of birth and provisional license number.
    • To send you a pass pack we need to collect your name, address, date you passed your driving test and the test centre your test was taken at.
    • When you return a pass pack we collect your name and email address.
    • If you are a new driving instructor joining Ignition Driving School, we collect: Full name, address, telephone number, signature, a photocopy of your instructor license, ADI / PDI number, bank details, CRB number, login and password information and reference details.


  5. How is your personal data used and why do we use it?

    It is essential for us to collect your personal data in order for us to make sure that you are eligible to learn to drive and to ensure that we have the right driving instructor for your requirements.

    Whenever you make an enquiry or fill out a booking form, we check your postcode, availability for lesson times and your preference for type of car (manual or automatic) and for gender of instructor (male or female). If we can’t offer you driving lessons based on the information you supply then we will notify you by either telephone (text) or email, depending on your preferred response method to let you know.

    If we can help you then you will be contacted via head office again via your preferred contact method and told who your driving instructor will be. Then your details will be passed over to the driving instructor, who will be able to contact you and arrange lessons accordingly.

    On your first driving lesson a progress record card will be created, this charts your progress throughout your course of driving lessons so that you can see how you are doing. Personal data on a progress record card, helps the instructor to identify you and log important information such as your provisional license number and date of birth, which can be used as proof of ‘having seen’ should a police stop search take place for example.

    When a gift voucher is purchased your personal details are used to personalise the voucher.

    When a pass pack is requested, your personal details are used to write a personalised certificate of congratulations from your driving instructor. Your name and town are also displayed on our website and Facebook page to congratulate you. When a customer survey is returned and a testimonial is written, your name and town will be published on our website.

    As a new franchisee the personal data collected is used to check that you are a fit and proper person and have all the necessary licences and qualifications to teach. The information is then entered in to our database, so that when pupils search for a driving instructor they are directed to your area page of our website.


  6. Direct marketing and your personal data

    We don’t use direct marketing and so won’t use your personal data for this purpose.


  7. How do we protect your personal data?

    We use the latest software and encryption techniques to keep your personal data safe.


  8. How long is your personal data stored?

    Personal data is only kept for as long as it is needed.

    Progress record cards will be stored for 7 years for accounting / self assessment purposes. An instructor will present these cards to the HMRC if necessary as proof of teaching if called upon.

  9. Do we share your personal data with anyone else?

    Once you have agreed to book a driving lesson your personal details will be shared with one of Ignition Driving School’s driving instructors.

    If you have booked an intensive driving course then your personal data will be used to book your theory and driving tests with, and so will be shared with the DVSA.

    If you have booked an all-inclusive intensive driving course, then your personal data will also be shared with Amazon UK, as course materials will be ordered on your behalf to help you with your course.


  10. What rights do you have over your personal data?

    You can request information about the personal data we hold on you at any time. You can also change any personal data if it needs updating.
